Selling or buying a used car between two private individuals requires more than a handshake. A proper bill of sale protects both sides — it locks in the agreed price, the odometer reading, the vehicle's identity, and the date the vehicle changed hands. The HB Tools Car Bill of Sale Generator builds that document for you in minutes, entirely in your browser, with nothing uploaded to a server.
Unlike a blank template you fill in by hand, this generator calculates the sale price in words, formats the federally required odometer disclosure automatically, and lets you toggle on a lien payoff section or notary block only when your situation needs it. The result is a clean, print-ready PDF that looks like it came from a law office, not a fill-in-the-blank form.
A vehicle bill of sale is a signed record that a seller transferred ownership of a specific vehicle to a buyer for an agreed price on a specific date. It is not the same as the title — the title is the legal proof of ownership issued by the state, while the bill of sale is the receipt of the transaction. Most state DMVs ask for both when a buyer registers the vehicle, and many states legally require a bill of sale for tax assessment purposes, especially when the sale price differs from the vehicle's book value.
If a dispute ever arises — over the agreed price, the mileage at the time of sale, or whether the vehicle was sold as-is — a signed bill of sale is the document both parties point to. Without one, a private sale exists only as a verbal agreement.
Federal law requires sellers to disclose the odometer reading on most vehicles under 20 years old and under 16,000 pounds gross vehicle weight rating. Falsifying or omitting this disclosure is a federal offense, and several states fold the requirement directly into their bill of sale forms. This generator includes the standard disclosure language and the three legally recognized statuses: actual mileage, mileage exceeding the odometer's mechanical limits, and mileage known to be inaccurate.
Most private used car sales are sold as-is, meaning the buyer accepts the vehicle in its current condition with no guarantee against future mechanical issues. This generator defaults to an as-is clause but lets you switch to a limited warranty and describe the exact terms if the seller is offering one — for example, a short drivetrain guarantee.
If the vehicle still has an active loan, the bill of sale should note that the lienholder is being paid off as part of the transaction. Toggling on the lien section adds the lienholder's name and account number to the document, which matters if the buyer's lender or the DMV later asks for proof the prior loan was satisfied.
Notarization requirements vary by state. A small number of states — including Louisiana, West Virginia, and New Hampshire — require a notarized bill of sale for vehicle title transfer, and some states require it only above a certain sale price. This generator includes an optional notary acknowledgment block you can include or remove with a single toggle, so the document matches what your state's DMV expects.
